FineTran

It is a web based software suite that gives healthcare facilities the ability to efficiently manage and execute their Patient Record functions. It meets the HIPAA regulations and requires no investment in hardware or software at the client end.

Medical Transcription and Patient Record management can be divided into four main functions:

Dictation Capture

Physicians prefer different modes of dictation. Some favor hand held recorders which gives them complete freedom to dictate from anywhere; while some prefer a toll-free digital dictation system.

FineTran supports all such dictation capturing options, viz. hand held recorder, toll free digital dictation system and accessing dictations from hospital legacy system.

The Dictate@FineTran module is installed and configured on physician’s PC. The recorder is configured with the physician’s name and the type of reports generally dictated. Once this is done the Physician dictates into the hand held recorder. After capturing the dictation on the hand held recorder, it is docked on to the Physician’s PC. Dictate@FineTran fetches it from recorder and uploads it to the FineTran server using 128 byte encryption. These dictations are immediately included in the job flow and are routed to Transcriptionists online.

For toll free dictation, a four digit ID is given to access our dictation system. All dictations recorded on the system are then uploaded on to the FineTran server and routed online to transcriptionists.

Transcription

To manage all dictations uploaded on FineTran server effectively, the Transcribe@FineTran module is used. It allows to route dictations to transcriptionists online as per their account & job priorities. Jobs automatically move to higher level as per the QA levels set for that account. Transcribe@FineTran provides accuracy & TAT report of each job. It also monitors productivity in terms of lines transcribed/edited, TAT, quality and speed.

FineTran keeps complete track of each job. All dictations completed and released from Transcribe@FineTran are immediately available to Physicians.

Document Management

The DocManage@FineTran module takes care of the vital function of Document Management. Physicians and their office staff are configured as DocManage@FineTran Users as per their roles and rights. Each user is given a User ID and Password. They login to the secured FineTran Server and access the reports and perform functions as per the rights given to them. A Review Folder can be created to review the reports by office staff before it is presented to dictating physician. All reports can be edited, and online access to sound files can be given while being edited.

Moreover, cover letters and envelopes are generated by DocManage@FineTran, saving substantial time for the office staff. The Physician can electronically sign the report. Reports once signed and archived can’t be edited, providing complete security to the signed reports. Line counts and TAT for each report is available on DocManage@FineTran offering complete transparency in the billing approach.

Administration

Effective functioning and administration of the above three modules is achieved by the SysAdmin@FineTran module. It controls and monitors the users of Dictate@FineTran, DocManage@FineTran and Transcribe@FineTran – their rights, account configuration, logs, and various reports generation.
